at [Funding Circle](https://www.fundingcircle.com/us/)._\n\nRetail businesses run on [razor-thing margins](https://www.investopedia.com/ask/answers/071615/what-profit-margin-usual-company-retail-sector.asp). Every penny counts. \n\nIf you want to be successful in retail, you can’t only focus on money-making — you need to prioritize money-saving. And with coronavirus disease (COVID-19) disrupting regular operations and causing financial difficulties for businesses around the world, finding ways to conserve cash is as important now as ever. \n\nWhile that might be easier said than done, we have some real-life, practical tips to help you keep more money from every sale.\n\nNot every tip below will work for you, and that’s just fine. Try one, maybe two, and watch your profit margins go up and to the right.\n\n1\\. Consolidate or refinance high-interest debt\n-----------------------------------------------\n\nWhen your business was starting up, you likely had to take on debt to get it off the ground. With little credit history and revenue to show, your [small business loans](https://www.fundingcircle.com/us/small-business-loans/) probably came with some unsavory terms and rates.\n\nFortunately, you’re not stuck with it. Refinancing helps you pay off your old high-interest debt in favor of a new loan with better rates and better terms. And consolidation could turn your many expensive debts into one more affordable monthly payment.\n\n2\\. Automate the minutiae\n-------------------------\n\nTime is money. Every additional second increases your business’s earning potential.\n\nWhile you can’t add more time to the day, you _can_ use automation to win back wasted minutes. Thanks to AI, technology helps you handoff several of your trivial responsibilities.\n\n* **Auto-scheduling.** [Ditch the spreadsheets](https://www.deputy.com/features/auto-scheduling) and calendars and automatically schedule all your staff with a single click. Easy as that. Plus, AI will remember that this week last year that you needed extra hands on deck, and they’ll staff appropriately. [Digitzation](https://www.deputy.com/blog/why-the-payroll-process-is-broken-and-how-deputy-can-fix-it) at it’s finest.\n* **Automated bookkeeping.** Bookkeeping tech, like [Sunrise,](https://sunriseapp.com/) automates much of your tedious financial upkeep. Set up automatic payment reminders, schedule recurring invoices, and import and categorize your expenses automatically without wasting hours at the end of every month.\n* **Automated payroll.** Software like [Gusto](https://www.deputy.com/integrations/gusto) automatically takes care of things like direct deposits, issuing W-2s and 1099s, and every retail owner’s favorite task — local, state, and federal payroll taxes. You can even set your payroll on AutoPilot (and mostly forget it).\n* **Automated human resources.** HR tech, like [BambooHR](https://www.deputy.com/integrations/bamboohr), allows you to streamline time-intensive processes like applicant tracking, onboarding, time-off management, and employee self-service, which can save you serious money [save you serious money](https://smallbiztrends.com/2018/07/benefits-of-hr-software.html) in the long run. \n\nProTip: When you’re looking for software, choose solutions that [integrate](https://www.deputy.com/integrations) with other systems to save you even more time and money (and make life that much easier). \n\n3\\. Scale slowly\n----------------\n\nWhile it’s great to _plan_ ahead, don’t _pay_ ahead if you don’t have to. \n\nIf your business only needs one delivery van right now, don’t buy two because you’re eventually going to need another. And instead of renting a massive warehouse that you’re only partially utilizing, consider smaller storage units.\n\nCutting costs like these can significantly decrease your overhead.\n\n4\\. Opt for used instead of new\n-------------------------------\n\nEveryone likes brand new shiny gizmos and gadgets, but used equipment is often half the price with close to the same utility.\n\nYou can find used furniture, office equipment, and computers that function just-like-new but without the hefty price tag. Buying used isn’t always as fun, but it sure does save you a pretty penny.\n\n5\\. Consider leasing\n--------------------\n\nMaybe you don’t need to buy new or used — perhaps you should lease. With leasing, you usually get the latest model and don’t have to worry about upkeep, repairs, or depreciation. Plus, when the lease is over, you often have the option to buy the equipment at a discount. \n\nLeasing isn’t always the best option, but there are several scenarios where it’ll help you save money in the short term and long term.\n\n6\\. Try low-cost advertising alternatives\n-----------------------------------------\n\nInstead of highway billboards and expensive TV ads, try more modern low-cost advertising alternatives. \n\nExperiment with SEO, YouTube ads, email marketing, influencers, or pay-per-click (PPC) ads to see what works for your retail business. If one (or more) of these methods resonates with your audience, you could save a considerable chunk of change on your customer acquisition costs.\n\n7\\. Optimize your inventory\n---------------------------\n\n[Too much inventory](https://www.deputy.com/blog/the-ins-and-outs-of-inventory-turnover), and you’ll waste money on storage, depreciation, and overstock discounts. Too little inventory, and you’ll miss out on sales and acquiring new customers.\n\nStocking your shelves doesn’t have to be a guessing game. Use [inventory management software](https://www.deputy.com/blog/best-free-inventory-management-software-to-consider-for-your-business) and demand forecasting to help you maintain just the right amount of inventory to satisfy demand. \n\nAlso, consider getting inventory financing. You’ll have to pay interest on the funding, but the extra cash flow now could help you save a lot more money later.\n\n8\\. Invest in the right technology\n----------------------------------\n\nOld hardware and tech maintenance can be decreasing your business’s efficiency while costing an arm and a leg. New technology can run in the cloud and doesn’t require the same expensive expertise to set up, maintain, and update.\n\nBefore you spend hundreds or thousands of dollars on costly software, check to see if there’s an open-source solution. Open source is code that’s free to use, modify, and enhance. You can find open-source tech for everything from accounting to communications to photo editing.\n\n9\\. Revisit your pricing and your stock\n---------------------------------------\n\nWhen’s the last time you evaluated your pricing? With overhead costs continually changing (and likely, increasing), you want to make sure you’re adjusting prices accordingly. \n\nCalculate your Cost of Goods Sold, or [use this handy calculator](https://www.deputy.com/blog/downloadable-calculator-for-cost-of-goods-sold-formula), to determine the costs involved in making the product you sell, and to ensure you’re charging enough. \n\nTake it one step further and evaluate which products are working and which aren’t, for your retail business. [Calculating contribution margin and contribution margin ratio](https://www.deputy.com/blog/understanding-how-to-calculate-contribution-margin-ratio) will help you get a better understanding of how products are contributing to your bottom line, and which items make the most sense to stock. \n\n10\\. Audit (and minimize) your expenses\n---------------------------------------\n\nWith so much going on — all the time — and a thousand things to do daily, it can be tough to set aside even an hour to dig into your financials. But, [analyzing your profit and loss statement](https://www.deputy.com/blog/how-to-make-a-profit-and-loss-statement) and regularly [balancing your budget](https://www.deputy.com/blog/6-tips-to-balance-your-business-budget-in-2018) could also save your business some substantial cash. \n\nDo you actually use that file-hosting service you’re paying $10 a month for? What about that business phone line that’s setting you back $30 a month, which translates to $360 a year? While this all may seem like chump change, it can add up — quick. And cutting these unnecessary expenses could boost your cash flow. \n\nDo competitive research and see if you can score a better deal. Maybe you can get a perfectly good landline for your retail business for only $15 a month, which could save you $180 a year. \n\nTalk to your suppliers and see if they’d be able to negotiate on price, or be willing to offer you a discount if you buy in bulk. You may also find through a bit of research that you can source the same product, but at a significantly lower price from a different supplier. \n\nReduce [your labor costs](https://www.deputy.com/blog/5-tips-to-reduce-labor-costs) — part-time or temporary workers could save you in overtime and mandated healthcare expenses. If you’re already selling like a pro, then all you need to do is start saving like one.\n\nExperiment with these cost-cutting tips to see how much additional cash your business can save. As the common saying goes, to err is human. Most mistakes are embarrassing but fairly harmless.\n\nHowever, if you’re a leader who manages hourly shift workers, some mistakes can cost you money, time, and customers. These mistakes might be the difference between your business being profitable or declining.\n\nFortunately, the first step of avoiding mistakes is being aware of them. Here are five leadership mistakes that might be costing you money plus tips on how to avoid them.\n\nLeadership mistake #1: Manually updating your schedule\n------------------------------------------------------\n\nPicture this: You’re just opening up your clinic for the day and your front desk attendant can’t make it in. And with a busy day of patients, you find yourself scrambling to find a replacement ASAP.\n\nYou’re trying to remember who’s on leave, who’s in self-isolation, and who is looking to pick up extra hours. And you’ve been doing all of that with sticky notes, emails, and text messages.\n\nDid anyone say headache?\n\nWhen your patients get tired of waiting and ditch your clinic for somewhere else, you’re costing yourself business.\n\nHere are three ways to automate your scheduling.\n\n* Use shift management software that has a mobile scheduling app so that employees can have [on-demand access](https://www.deputy.com/features/scheduling-software) to the schedule and update any changes.\n* Empower employees to [trade shifts](https://www.deputy.com/features/shift-trading) with each other. Simply require manager approval to still ensure the right person is on the clock.\n* Use your app to offer available shifts to interested employees so you’re not left with an empty front desk\n\nLeadership mistake #2: Under/over staffing\n------------------------------------------\n\nThe highs and lows in the demand for shift workers can be dizzying. During busy seasons, your team is always on the move, making it difficult to find enough employees to cover the demand. And during the holiday slow down, your employees are looking for something to do.\n\nNot enough staff and you can sacrifice quality customer service — and customers. Too many staff and you could be shelling out unnecessary money.\n\nHere’s how strong leaders make sure they always have the right number of staff on hand.\n\n* Use [integrated reporting](https://www.deputy.com/blog/clearer-insights-better-cost-visibility-with-new-scheduling-stats) to control costs with real-time data on wages versus your sales.\n* Create optimized schedules with AI technology to [reduce unnecessary wage costs](https://www.deputy.com/features/scheduling-software).\n* Use workforce management software that lets you make changes on any device, so you can easily make adjustments regardless of where you are.\n\nLeadership mistake #3: Not training your employees\n--------------------------------------------------\n\nIf your business has been on reduced hours or even closed, you might find that you need to train (or retrain) your team on new protocols.\n\nIf you don’t make training a priority, you could be liable for some hefty fines. Plus, research has shown that training employees not only [improves their morale](https://www.deputy.com/blog/boost-your-staffs-morale) and satisfaction, it also [improves sales](https://knowledge.wharton.upenn.edu/article/retail-staffing-model/).\n\nHere’s how to easily incorporate training into your leadership strategy.\n\n* Use [videos](https://www.deputy.com/blog/introducing-video-support-for-news-feed) to offer visual instructions about new processes or procedures.\n* Require confirmation in your workforce messaging app to ensure your team gets the updates they need.\n* Offer employees training on your product lines and proper customer service either onsite or using online learning platforms.\n\nLeader mistake #4: Not motivating your employees\n------------------------------------------------\n\nIt’s been a rough few months for everyone, and shift workers really feel the pain.\n\nUnmotivated employees are more likely to be unproductive and they often [leave for greener pastures](https://www.deputy.com/blog/keep-your-employees-from-getting-poached) as soon as new opportunities arise. Unproductivity might cost your company sales and customers. High employee turnover rates are very expensive because of the [high costs of recruiting new staff](https://www.benefitnews.com/news/avoidable-turnover-costing-employers-big?brief=00000152-14a7-d1cc-a5fa-7cffccf00000&utm_content=socialflow&utm_campaign=ebnmagazine&utm_source=twitter&utm_medium=social).\n\nIf you’re trying to climb back from the global pandemic, keeping your team motivated will be key to your success.\n\n* Recognize employees who perform well through programs such as employee of the month.\n* Give employees the flexibility to manage their schedules through [shift trading](https://www.deputy.com/features/shift-trading).\n* Hold team-building events (even virtually) to help with relationship building.\n\nLeadership mistake #5: Poor delegation\n--------------------------------------\n\nHelp needed at the customer service counter.\n\nWait, who was in charge of customer service today? Blank stares.\n\nBefore you can sort out this delegation mishap, the social distanced line has wrapped around the next aisle.\n\nPoor delegation of both one-time and recurring tasks can reduce morale and lower productivity while reducing customer satisfaction. Often, these inconveniences translate to actual dollar losses.\n\n* Use a [task management app](https://www.deputy.com/features/tasking) to automate recurring tasks and balance employee workload.\n* Identify any skills or certifications needed for a certain task, and use your scheduling notes to ensure you are delegating tasks to the right person.\n* Provide feedback to help your employees learn how to do the task better in the future, or to keep up the good work if they’re already mastering it.\n\nAvoid Costly Mistakes\n---------------------\n\nManual scheduling, over/under-staffing, lack of training, lack of motivation, and poor delegation can cost your business a lot of money and customers in the long term. Thankfully, they also present opportunities to improve customer and employee satisfaction while increasing profits. Lead with the best of them when you try a [free trial of Deputy](https://www.deputy.com/free-trial).","2020-05-19
